Boosters Board and Chair Positions

 

Executive Board

President

Coordinates all work of the Boosters, leads all general and Executive Board meetings, serves as primary liaison with school administration, oversees planning and execution of Booster programs and fundraising, meets regularly with officers and committee chairs, appoints/approves committee chairs as needed, ensures compliance with bylaws and nonprofit standards, and serves in all areas as needed. Responsible for: All officers and committees.

 

VP Events & Enrichment

Coordinates Booster community-building events, enrichment programming, and academic-support activities. Works with school staff and committee chairs to plan and execute events and enrichment opportunities, ensures compliance with school policies, coordinates logistics, budgets, volunteer needs, and cross-officer communication, and provides status updates at Executive Board meetings. Responsible for: Fall Family Fun Nights, Spring Family Fun Nights, Enrichment Nights, UIL Competitions

VP Membership & Fundraising

Supervises Booster membership growth, family engagement, community outreach, and fundraising initiatives. Promotes membership enrollment and participation, supports communication of Booster opportunities, coordinates fundraising activities with committee chairs, ensures financial tracking procedures are followed in coordination with the Treasurer, and provides progress updates at Executive Board meetings.

VP Volunteers

Coordinates recruitment, scheduling, and retention of volunteers for all Booster-sponsored programs and events, maintains volunteer interest lists and sign-ups, ensures volunteers meet any school requirements, supports committee chairs with staffing needs, and coordinates volunteer appreciation efforts as needed. Provides updates at Executive Board meetings. Responsible for: Winter Performance, Spring Performance, Field Day, Grade Level Coordinators.

 

VP Hospitality

Coordinates staff and volunteer appreciation and hospitality activities, plans and executes appreciation events within budget, recruits volunteers and donations for hospitality needs, maintains hospitality supplies as needed, and coordinates with other officers to support hospitality needs during major Booster events. Provides updates at Executive Board meetings. Responsible for: Teacher Appreciation, Staff Appreciation, Volunteer Appreciation, Guest Events like Grandparents Day

 

Treasurer

Responsible for all funds of the Boosters, maintains accurate financial records, prepares and presents monthly financial reports and an annual summary, manages deposits, reimbursements, invoices, and payment documentation, supports budget development and year-end audit/financial review, and ensures compliance with required filings and financial controls. Member of Executive Board.

 

Secretary

Records minutes of all general and Executive Board meetings, maintains official records including bylaws and key documents, sends meeting notices and board communications as needed, tracks attendance and votes, and ensures decisions and approvals are properly documented and retained for year-to-year continuity. Member of Executive Board.

 

Chairs & Coordinators

Fall Family Fun Nights Chair

Plans and executes fall family fun night(s) in coordination with school guidelines, manages event logistics, supplies, and volunteer needs, coordinates promotion with the VP Membership/Communications support, and provides budget and status updates to the VP Events.

 

Spring Family Fun Nights Chair

Plans and executes spring family fun night(s), coordinates logistics, volunteers, and supplies, works with school staff as needed, and communicates event needs and updates to the VP Events for board visibility and support.

 

Enrichment Nights Chair

Plans and executes enrichment-focused family events (e.g., STEM nights or themed learning nights), coordinates activities and volunteers, ensures alignment with school policies, and reports planning, needs, and outcomes to the VP Events.

 

Dad Hawks Chair

Coordinates father/guardian engagement activities that support Booster volunteer efforts and school community building. Recruits volunteers, plans events, and reports progress and needs to the VP Volunteers.

Assemblies Chair

Coordinates with school staff to support or sponsor student assemblies as assigned, manages any Booster-related logistics and volunteers, and reports plans and needs to the VP Events.

 

Booster Member Events Chair

Coordinates Booster member-facing events and engagement activities (e.g., volunteer socials, membership gatherings), manages logistics and communication, and reports plans and needs to the VP Events.

 

Science Fair Chair

Plans and executes the Science Fair in coordination with school staff, manages rules, timelines, judging support, volunteers, and event-day logistics, and communicates budget needs and updates to the VP Enrichment Programs.

 

Spelling Bee Chair

Coordinates the Spelling Bee program and event logistics, works with school staff on format and schedule, organizes volunteers and materials, and reports progress and needs to the VP Enrichment Programs.

 

Robotics Chair

Coordinates Booster support for Robotics activities as applicable, supports logistics, volunteer needs, and materials, aligns with school policies and staff direction, and reports updates to the VP Enrichment Programs.

 

Sports Chair

Coordinates Booster-supported sports-related activities as applicable (e.g., events, recognition, support), recruits volunteers as needed, aligns with school guidelines, and reports updates to the VP Enrichment Programs.

 

UIL Competitions Chair

Coordinates Booster support for UIL competitions, assists with logistics, volunteer coordination, and event needs, aligns with school requirements, and reports updates and budget needs to the VP Enrichment Programs.

 

Communications Chair

Manages Booster communications to families including newsletters, flyers, announcements, and consistent messaging, coordinates with officers and chairs to publish accurate event information and volunteer needs, and supports promotion of Booster membership and initiatives. Reports to the VP Membership.

 

Grade Level Shirts Chair

Coordinates the design, ordering, and distribution of grade-level shirts for students and staff, manages size collection and vendor coordination, organizes volunteer support for sorting and delivery, and ensures timely distribution aligned with school needs. Reports to the VP Membership.

 

Meet the Teachers Chair

Coordinates Booster participation in Meet the Teachers events, works with school staff and other officers to organize Booster tables and materials, supports volunteer staffing and setup, and ensures families have clear information on membership, volunteering, and upcoming events. Reports to the VP Membership.

 

Community Outreach Chair

Coordinates community outreach initiatives and family support activities as assigned (donations, drives, support efforts), recruits volunteers as needed, and communicates plans and outcomes to the VP Membership.

 

Winter Performance Chair

Coordinates Booster support for the winter performance event, works with school staff on schedule and logistics, organizes volunteers and supplies as needed, and provides status and budget updates to the VP Volunteers.

 

Spring Performance Chair

Coordinates Booster support for the spring performance event, organizes volunteers, supplies, and logistics as needed, works with school staff for alignment, and reports needs and progress to the VP Volunteers.

 

Field Day Chair

Coordinates Booster support for Field Day in partnership with school staff, manages volunteer recruitment and day-of logistics, organizes supplies and stations as needed, and reports plans, staffing needs, and budget requests to the VP Volunteers.

 

Grade Level Coordinators (K–8)

Serve as the primary Booster contact for their grade level, help recruit and organize grade-level volunteers as needed, support grade-level communications and event execution, and coordinate with the VP Volunteers to ensure coverage for grade-level needs and Booster activities.

 

Book Fair Chair

Plans and executes the Book Fair fundraiser, coordinates with school staff and vendor on scheduling and setup, manages volunteers and promotions, and ensures cash-handling and reporting procedures are followed with support from the Treasurer. Reports to the VP Fundraising.

 

Yearbook Chair

Coordinates creation, production, and distribution of the yearbook, manages photo collection and submissions, works with vendor/printer and school staff as needed, coordinates ordering and delivery timelines, and reports budget and status updates to the VP Fundraising.

 

Spirit Night Chair

Schedules and coordinates Spirit Nights with restaurants or partners, ensures promotion and participation tracking, and works with the Treasurer to ensure fundraising proceeds are documented. Reports to the VP Fundraising.

 

Silent Auction Chair

Plans and executes the Silent Auction fundraiser, solicits donations and sponsorships, manages item organization and auction logistics, coordinates volunteer staffing and promotion, and ensures financial procedures and reporting are followed. Reports to the VP Fundraising.

 

Spirit Wear Chair

Coordinates design, ordering, sales, and distribution of spirit wear merchandise, manages vendor relationship and inventory/fulfillment approach, coordinates promotions and sales timelines, and ensures income and expenses are documented per Treasurer procedures. Reports to the VP Fundraising.

 

Teacher Appreciation Chair

Plans and executes teacher appreciation activities throughout the year, coordinates donations, volunteers, and event logistics, maintains a plan within the approved hospitality budget, and reports needs and progress to the VP Hospitality.

 

Staff Appreciation Chair

Plans and coordinates staff appreciation activities (including non-teaching staff), organizes supplies, volunteers, and recognition efforts, and reports plans and budget needs to the VP Hospitality.

 

Volunteer Appreciation Chair

Coordinates volunteer recognition and appreciation activities, supports thank-you initiatives and end-of-year recognition as applicable, and works with VP Volunteers and VP Hospitality to align appreciation efforts. Reports to the VP Hospitality.

 

Standing Committees

Finance Audit Committee

Conducts a periodic review of Booster financial records and procedures, verifies that income and expenses are properly documented and consistent with approved controls, supports year-end financial review/audit preparation, and reports findings and recommendations to the Executive Board and/or membership as required.

 

Nominating Committee

Recruits and vets candidates for elected officer positions, confirms eligibility and willingness to serve, presents a slate of nominees to the membership per bylaws and timelines, facilitates nominations as allowed, and helps ensure a smooth, transparent election process.
